Job Summary
Responsible for supporting a full range of payroll processing, recordkeeping and accounting activities using Kronos Timekeeping and the Oracle Human Resources Management System (HRMS) and providing exceptional customer service to students, faculty, staff and external customers.
Job Responsibilities
- Execute payroll pre-processing steps and run reports for semimonthly and/or biweekly payrolls. Process the semi-monthly and biweekly payrolls with the proper parameters to ensure transactions are accurate. Transfer hours from the timekeeping system to the Oracle application using Kronos Connect and the Batch Element Entry utility within Oracle.
- Calculate payments and complete entries into Oracle HRMS and Kronos Timekeeping ensuring compliance with University guidelines, including the calculation of new hire, termination and retroactive payments, as well as tax calculations. Manage Oracle alerts for active, terminated, and new hire employees. Calculate short-term disability, communicating as necessary with departments, Human Resources and employees regarding payments.
- Prepare timekeeping records for biweekly payroll processing including correction of overlapping and missing punches, completion of mass payroll sign-off, and run the overtime calculation program for students with multiple jobs.
- Resolve costing errors by working closely with Human Resources, Student Employment, Accounting and Sponsored Program Accounting and prepare journal entries as needed.
- Prepare payment requests to fund payroll activity including direct deposits, payroll checks and 3rd party providers.
- Coordinate the processing of off-cycle payments, including cash advances, voids, and reissues, ensuring they are timely and accurate.
- Ensure income tax withholding compliance for payments made to nonresident aliens using Oracle and Arctic International software
- Maintain departmental mailbox, ensuring that all questions are answered accurately and promptly.
- Complete various tasks as assigned by supervisor.
- Participate in a minimum of 30 hours of applicable training/professional development annually.

Required Qualifications
Education/Experience:
Associate’s degree in Accounting, Business Administration or related discipline and two to three years payroll or general accounting experience or an equivalent combination of education and experience.
Skills:
Strong PC skills required including a high level of proficiency in Microsoft Office tools including Excel and Word, required. Strong verbal and written communication skills required. Applicant must be able to exercise sound business judgment and the ability to make independent decisions, provide excellent customer service and to professionally interact with individuals at all levels of the organization. Must be able to work independently; meet critical deadlines and maintain confidentiality of payroll, human resource and financial information.
Preferred Qualifications
Preference given to individuals with a Bachelor’s degree in Accounting, Business Administration or related discipline and/or experience in payroll operations, payroll tax reporting, and/or high-volume payroll processing using Oracle HRMS/Payroll and or PeopleSoft. Knowledge of Kronos Timekeeping system or a comparable timekeeping software. Certified Payroll Professional designation.
