Job Summary

An upscale property management company is seeking an experienced Office Administrator / Receptionist open due to a vacancy. The company is small with less than 10 employees and located on the east side of Rochester, NY. The Office Administrator / Receptionist must have 1-2 years of prior office experience. Strong phone etiquette, an ability to multi-task in a fast paced environment, and a high level of comfort facing clients is key for success in this role. This is a temp to hire position paying $14/hour with standard daytime/weekday hours.

Responsibilities

  • Provide general clerical support, including mailing, scanning, faxing, typing, and copying
  • Provide secretarial work, including formatting and editing documents and or letters
  • Prepare FedEx shipments
  • Answer calls for three tenants with customized instructions and greetings
  • Greet incoming clients for tenants; notify tenant according to their preferred method as requested
  • Accept service of papers, orders, and deliveries for tenants
  • If requested, email tenant when papers, or documents have been delivered
  • Place various maintenance requests as they arise
  • Process and sort incoming mail
  • Oversee reservations of large and small conference rooms in conference scheduling book
  • Manage Xerox copier, including ordering and replacing ink, creating new account codes, removing old account codes, entering meter readings online, and handle maintenance request as they arise.
  • Repost Craigslist ad weekly for available office space
  • Show executive office space to potential tenant as needed
  • Order signage for new tenants and request removal for past tenant
  • Manage Neopost machine, including ordering ink and reloading funds when needed
  • Call for support with vendors as needed
  • Post mail as requested. Drop mail and FedEx across the street by end of day

Qualifications

  • Strong attention to detail required, including providing accurate and consistent work
  • Strong interpersonal skills required, including building effective relationships and exuding a pleasant and professional attitude both in person and on the phone
  • Must exhibit integrity and trust by maintaining confidence and asking questions as needed
  • Strong teamwork skills required, including willingness to work cooperatively with others
